IB DP_Year1 students - Instructions Term2 tests April 2021

Dear Students,

IB DP’s Year 1 term two tests will take place online via MS Teams while schools remain in distance learning. For each test you will need to logon to MS Teams IB1 Students 2020-2021. In that group you will see a channel with the date of the test. You will need to join the respective group at the beginning of the test once your invigilator starts the meeting like you normally join an online class.

You must read carefully and follow the instructions in this document.

Preparing for the test

-          Make sure your camera and microphone are fully functional.

-          If you are using a laptop, it should be plugged in to your charger.

-          Your cell phone must be fully charged.

-          If you require any cables connecting your devices, make sure you have them with you so you won’t need to leave your desk at any point.

-          Clear your desk and the area immediately close to you and your computer.

-          Keep only blank white or lined pieces of paper for your answers. You will need to show these to the invigilator at the beginning of the test.

-          Keep your cell-phone right next to you face down so that it is visible to the invigilator.

-          Your answers will be written on paper. Only students with relevant authorisation can use the computer.

-          Write on top of each paper your name clearly. Number all pages as you go along in your answer.

-          Ensure you are in a quiet room.

-          Your desk must be clear of everything except what is needed for the test (pen, pencil, eraser, ruler).

-          Use of calculator is only allowed for specific subjects. You will be informed accordingly by your teachers.

-          You are not allowed to use your cell phone during the test. It should be turned off and positioned on your desk, visible on the camera with the screen facing towards the desk. At the end of the test, once the invigilator allows it, you will use it to photograph your answer sheets.

-          Ensure there are no other electronic devices in the room (cell phones, air-pods, tablets, smart watches etc.).

-          Only bottled water is permitted.

-          Clarifications are not allowed during the tests.

-          The day before each test check that under the group “IB1 Students 2020-2021” you can see a channel named with the date of the test. If you don’t, send an MS Teams chat message to Mr. G. Galanakis, or write to [email protected].

-          Place your camera further back on your office so that your whole body, hands and paper are clearly shown when you are writing, as presented to you during our information session today. You need to ensure before the test that you have placed your camera accordingly. Invigilators will ask that they can see you clearly before the test starts.

-          NO background is allowed during tests. Your room should be visible.

During the test

-          You are not allowed to leave the room while you are taking the test. Ensure you have visited the bathroom before the beginning of the procedure.

-          If you wish to communicate anything to the invigilator, write in the group’s chat.

-          Camera and microphone are to be turned on for the whole duration of all tests.

-          The invigilator will start a meeting at your test channel 5 minutes before the beginning of your test. You will need to join that meeting.

-          The invigilator will check

o   Your microphone and camera

o   That you are in a quiet room

o   That they can see your mobile and it is turned off and face down

o   That you are using no backgrounds

o   Your position inside your screen’s frame to ensure they can see your face and hands simultaneously

o   Your desk and room by randomly asking you to move your camera

o   If a calculator is required, you will need to reset it in front of the camera and show it to the invigilator

-          Invigilators might be asking you at random intervals during the test to reposition yourself/camera/papers or to share your screen or do a 3600 of your room.

-          Once checks are finished tests (alongside data booklets and calculator instructions, if necessary) will be uploaded on the group’s chat.

-          No time is provided for printing the test. Since you are not allowed to leave your desk, you can only print your test if a printer is right next to you. You will have to show the printout to the invigilator to check.

-          Time remaining for each test will be shown on the group’s chat and the invigilator will be notifying you 30’ and 5’ before the end of the test.

-          At no point during the test can you logoff. Should you run into a technical difficulty, you must immediately inform us.

Ending the test

-          The invigilator announces the end of the test at which point you immediately stop writing and place your pen down.

-          Once the time of your tests finishes you have 10 minutes to photograph and upload your paper on ManageBac in the presence of your invigilator. This process must happen while you are still logged on.

o  Photograph/scan your paper in one single pdf.

o  Upload your paper on managebac at the new task your teacher has created for uploading the tests.

-          Students taking the test on their computer must upload their paper on Managebac at the end of the test without the above process.

-          Once finished, you ask your invigilator if you can be excused to logoff.

-          If you have finished your paper earlier than the end of the test, notify your invigilator by writing in the chat. They will then make note of the time you finished, and allow you to scan and submit your file.
